Privacy Policy

How ChalkedUp collects, uses, stores, and shares personal information.

1. Scope

This Privacy Policy applies to ChalkedUp and explains how personal information is handled when you browse the site, create or use an account, sign in with Google, register for a competition, host or volunteer at an event, make or receive event-related payments, contact support, or otherwise use the platform.

2. Information we collect

Depending on how you use ChalkedUp, we may collect:

  • Account information, such as your first and last name, email address, password hash, email-verification status, and account-security information.
  • Optional profile information, such as phone number, date of birth, gym affiliation, gender selection, and profile image.
  • Competition and registration information, such as team or athlete details, division, T-shirt selection, volunteer information, scores, rankings, event communications, and other information submitted in connection with a competition.
  • Host information, including competition details and settings, event content, connected Stripe account identifiers, and information needed to administer events.
  • Payment records, such as payment status, amounts, transaction or Checkout identifiers, and related registration records. Complete payment-card details are handled by Stripe and are not stored by ChalkedUp.
  • Support and security information, including messages you send to us and technical information reasonably needed to secure, troubleshoot, and operate the service.

3. Google Sign-In

ChalkedUp offers Google Sign-In as an optional way to authenticate. When you choose Google Sign-In, Google provides ChalkedUp with a signed identity token. ChalkedUp verifies that token and uses only the identity information needed to create, link, or sign in to your ChalkedUp account.

The Google information ChalkedUp may receive and use includes:

  • Google's stable account identifier (sub);
  • your email address and whether Google reports it as verified;
  • your first and last name, when provided by Google; and
  • a Google Workspace hosted-domain value, when applicable.

ChalkedUp uses this information only to authenticate you, create or link your ChalkedUp account, protect against account-linking mistakes, and maintain the association between your Google Account and ChalkedUp account.

ChalkedUp does not request access to your Gmail, Google Drive, Google Calendar, Google Contacts, or other unrelated Google content. ChalkedUp does not store the raw Google ID token after the sign-in request is processed.

We do not sell Google user data, use it for advertising, or share it except as necessary to provide, secure, or support ChalkedUp, comply with law, or as otherwise described in this Policy.

4. How we use information

We use personal information to:

  • create, authenticate, secure, and maintain user accounts;
  • operate competition registration, scheduling, scoring, leaderboards, volunteering, and host-management features;
  • process and reconcile event payments and related records;
  • send account, verification, support, registration, and event-related communications;
  • prevent fraud, abuse, unauthorized access, and security incidents;
  • diagnose errors and maintain or improve the reliability of the service; and
  • comply with applicable legal, accounting, and record-keeping obligations.

5. When information is shared

We do not sell personal information. Information may be shared in the following circumstances:

  • With competition hosts and participants when necessary to administer an event or display information that is intended to be public, such as competition results or leaderboard information.
  • With service providers that help operate ChalkedUp, such as web hosting, email delivery, payment processing, Google Identity Services, reCAPTCHA, and mapping services, subject to their applicable terms and privacy practices.
  • For legal or safety reasons when disclosure is reasonably necessary to comply with law, respond to lawful process, protect users, investigate fraud or abuse, or protect the rights and security of ChalkedUp and others.
  • With your direction or consent when you ask us to share information or use a feature that requires it.

6. Stripe and payment information

When a competition uses online payment, payment processing is provided by Stripe. Payment-card information is entered into Stripe's payment experience and is handled under Stripe's privacy practices. ChalkedUp receives and stores only the payment and transaction information needed to confirm registrations, support host records, reconcile charges, and operate related features.

7. Cookies and local browser storage

ChalkedUp uses cookies or similar browser storage for functions such as maintaining a signed-in session, optional "remember me" authentication, security protections, and user interface preferences such as theme selection. Some third-party features, including Google Sign-In and reCAPTCHA, may also use cookies or browser storage under the provider's own policies.

8. Data retention and account deletion

We keep personal information only for as long as reasonably necessary for the purposes described in this Policy, including operating the service, maintaining event and transaction records, resolving disputes, preventing abuse, and meeting legal or accounting obligations.

You can delete your ChalkedUp account from the Account Settings area. The account-deletion process deactivates and anonymizes the active profile, removes personal account fields where reasonably possible, deletes the managed profile image, and removes the stored Google account identifier and Google-link timestamp. If you own competitions, those competitions must first be deleted or transferred.

Competition, registration, payment, audit, or other records may remain when they are needed for legitimate operational, legal, security, accounting, or record-keeping purposes.

9. Security

We use reasonable administrative and technical safeguards designed to protect personal information, including server-side authentication controls, secure session cookies, password hashing, request-forgery protections, access controls, and validation of Google Sign-In tokens. No internet service can guarantee absolute security.

10. Your choices and access

You can review and update much of your account information from your ChalkedUp profile. While Google is connected, the matching account email remains locked. ChalkedUp password changes are available when you sign in with your ChalkedUp password; a session signed in through Google cannot change it. Google Account credential changes are handled through Google. You may connect or disconnect Google from Account Settings, or contact us with questions about your personal information.

11. International service providers

Some third-party service providers may process or store information outside your province or outside Canada. Information handled in another jurisdiction may be subject to the laws of that jurisdiction.

12. Changes to this Policy

We may update this Privacy Policy as the platform, applicable requirements, or our data practices change. The current version will be posted at this URL with its latest update date.
